OpenHouse
Copy date is usually around 3 months BC (before the concert). Bill to provide outline copy for a brief announcement.
Poster production
Copy finalised about 10 weeks BC. Image ideas discussed by the committee at around this time, to allow time for Sara to research and produce examples.
Poster design approved 6 weeks BC.
Printing 4 weeks BC.
Distribution 3 weeks BC.
Programme
Copy for programme provided by Bill 6 weeks BC.
Draft list of players provided by Tessa 6 weeks BC.
Copy edited and approved 5 weeks BC.
Designs discussed and approved 4 weeks BC.
Final list of players provided by Tessa 3 weeks BC.
Final proof approved 3 weeks BC
Printed 2 weeks BC.
OU screen saver
About 4 weeks BC email Claudia Sargent (C.S.Sargent) about the concert and ask her to create a slide of the OU Screen saver. Provide copy (can be similar to OpenHouse copy) and, if possible, an image.
OU Life diary
About 4 weeks BC arrange for an entry for the concert.
Poster distribution
3 weeks BC ask orchestra members to to put up posters in the areas where they work. Laurence has a list of orchestra members in each area to user for this purpose. Committee members to put up posters in any areas with no orchestra players.
Also, ask externally members to distribute outside the OU, e.g. Coral Wick to MK library.
Also distribute posters via the choir, especially for external publicity, e.g. to MK Chorale and Danesborough chorus.
Give out leaflets at any lunchtime concerts that happen shortly before ours.
External publicity
3 weeks BC email MK Web and MK Citizen. Laurence has contact details. Can use similar copy to OpenHouse and the screen saver.
Email notification
About 2 weeks BC email holders of concert series list, Marion Ballance (for choir list) and Tessa (Orchestra contact list) asking them to notify their lists and providing copy. (A plan to merge these lists has been discussed but not yet implemented.)
OU Club
About 2 weeks BC, and again a few days BC email the OU Club asking them to publicise the concert via their email list, providing copy.
OpenHouse News E-xtra
About 10 days BC ass an item to OpenHouse News E-xtra on the intranet (same wording as before) and ask them to move it to the top 1 day BC.
OU Life noticeboard
From about 2 weeks BC and on the morning of the concert add the odd notice to the intranet noticeboard. Needs a suitable photo.
