The General Data Protection Regulation (GDPR) came into effect on the 25 May 2018. Protection of your personal data is of the highest importance to the OU Trips Club.
Where possible we collect your personal data directly from you, either when you contact us through our website booking form and when you book us for an event such as a day trip or weekend away.
We will process personal data which is relevant to and specific to your trip details which may include the following:
first and last name
date of birth
home address
email address
telephone number
passport details
Accessibility
next of kin details (supplied by you)
Travel insurance
nedical information (supplied by you)
Our primary use of your personal data is book and deliver the best trip possible for you and your guests.
We use your email address to send you marketing and promotional communication and once confirmed to send you information and booking requests for your trip.
We ONLY use your personal information to book travel as and when it is required – such as flights, hotels etc and after each trip that personal information is then destroyed by being deleted from any electronic folders and shredding any paperwork.
The details above may be given to the Travel Agency on our behalf to allow them to book the trip.
At the end of each trip we aim to destroy any personal information relating to you and that trip within 3-5 days.
All email addresses are kept on a secure server using the OU’s List Management system for the life span of the Affiliated club.
We often take photographs of our groups and trips as a memento of our successful event, these are often put up on social media for all registered to share and see. If at any time you do not want to be included in these pictures please let the group leader know.
